How we protect your family's information

Last updated September 4, 2026

Ashford Academy ("Ashford", "we", "us") operates a child care and early education center in Schaumburg, Illinois and this website (the "Site"). This Privacy Policy explains what information we collect through the Site, how we use it, who can see it, and the choices you have. Because our families trust us with information about their children, we collect only what we need to respond to you and to enroll your child.

1. Information we collect

Information you give us. When you request information, schedule a tour or submit an enrollment request we collect:

  • Parent or guardian details: name, email address, phone number, relationship to the child and, for enrollment, home address.
  • Child details: first and last name, date of birth, the program you are interested in, desired start date and schedule, and any allergies, medical or special needs you choose to share so that we can plan for a safe placement.
  • Your preferred contact method and time, tour date and time, how you heard about us, and any notes you add.

Information collected automatically. Our server records the date and time of a submission and the network address it came from, solely to prevent abuse of the forms. The Site does not use advertising cookies, tracking pixels or third-party analytics. Map previews on location pages are loaded from OpenStreetMap and fonts from Google Fonts; those providers receive your browser's standard request data (such as IP address) when the page loads.

2. Children's privacy

The Site is intended for parents and guardians. We do not knowingly collect information directly from children under 13, and we do not market to children. Information about a child is provided by a parent or guardian, is used only to respond to that request and to prepare for enrollment, and is accessible only to the owners and staff responsible for enrollment. If you believe a child has submitted information to us directly, contact us and we will delete it.

3. How we use information

  • To confirm and conduct the tour you requested.
  • To answer your questions, share tuition and availability, place your child on a waitlist or in a classroom, and prepare the enrollment packet.
  • To contact you by phone, email or text about your request. We will not add you to marketing lists without asking first.
  • To keep the Site secure and to comply with state child care licensing and record-keeping requirements.

4. How we store and protect information

Submissions are stored in an access-controlled database that is not exposed to the public internet, on infrastructure we manage. Access is limited to staff who need it to handle your request. Connections to the Site are encrypted (HTTPS). We keep tour requests for up to 24 months and enrollment requests for as long as required by Illinois Department of Children and Family Services licensing rules, then delete or anonymize them. Enrolled families' records move into our licensed record-keeping system, which is governed by the enrollment agreement you sign at that time.

5. Sharing

We do not sell or rent personal information. We share it only with: service providers who host or maintain the Site under confidentiality obligations; state licensing or health authorities when the law requires; and successors if the business changes ownership, subject to this policy.

6. Your choices and rights

You may ask us at any time to see, correct or delete the information you submitted, or to withdraw a tour or enrollment request. Email [email protected] or call us. We will verify that you are the parent or guardian who submitted the request before acting on it. Illinois residents and residents of other states with privacy laws may have additional rights, which we honor on request.

7. Changes and contact

We will post any changes to this policy on this page with a new "last updated" date. Questions can be sent to [email protected] or mailed to Ashford Academy, Attn: Privacy, 1234 N. Roselle Road, Schaumburg, IL 60195.
